Exciting Opportunity: Facilities Admin Assistant at a Creative Entertainment/Gaming Company in the West End!

We are on the lookout for a proactive Facilities Assistant to join this vibrant entertainment and gaming company based in the heart of the West End. You'll be part of a fast-paced, creative team that thrives on collaboration and delivering a seamless experience across all aspects of facilities and events.

Fully office based role, Monday to Friday (usual office hours).

Main Purpose of the Job: To oversee the daily operations of Facilities Services, ensuring the smooth coordination of meetings, internal events, and departmental sync days/weeks, delivering a seamless and professional service.

Key Responsibilities:

  • Actioning tickets from the helpdesk to the Facilities Team.
  • Arranging inductions for new starters.
  • Building walk arounds, health and safety checks.
  • Ensure meeting rooms and common areas are maintained and well-stocked.
  • Liaise with IT, Facilities, Catering, and external suppliers for smooth event setups.
  • Support event logistics, including set-up coordination, risk assessments, and calendar updates.
  • Assist with event finances through invoicing and PO management.
  • Provide reception cover and general support to the Facilities Manager and team.
  • Handle corporate apartment bookings, scheduling cleaning, and repairs.

Skills, Knowledge, and Experience Required:

  • Experience in Facilities.
  • Proficient in Outlook, Excel, and PowerPoint.
  • Strong communication, customer service, and administrative skills.
  • Ability to work under pressure, prioritise tasks, and meet deadlines.
  • A proactive, detail-oriented team player with initiative.
  • Flexibility, adaptability, and willingness to embrace new processes.
