ASAP Start - Office Based - Competitive Salary
We are looking for a proactive and highly organised Office Manager to join one of our brilliant, dynamic and fast paced production clients. This role will require you to manage the day-to-day office operations and oversee the office relocation. If you're experienced in office management, relocation projects, and providing high-level PA support, this could be the perfect next role for you!
Key Responsibilities will include:
Office Management: Oversee the day-to-day running of the office, ensuring compliance with statutory requirements, liaising with external and internal stakeholders (landlords, contractors, IT, etc.).
Office Relocation: Lead the planning, execution, and transition of our office relocation in Q3 2025, including managing budgets, suppliers, timelines, furniture removal, IT, and building compliance.
Admin Support: Perform front desk duties, handle inquiries via phone, email, and social media, maintain office supplies, and ensure the office is well-organised and tidy.
Team Support: Provide PA support to our Head of Production and Deputy Head of Production, including diary management, travel arrangements, and expense reconciliation.
IT & Equipment Management: Oversee office equipment and IT infrastructure, arrange repairs or replacements as needed, and ensure that all IT systems are functional.
Health & Safety: Ensure office compliance with all Health & Safety regulations and sustainability practices in partnership with landlords and building management.
Staff Onboarding & Offboarding: Manage the onboarding process for new starters and ensure smooth exits for leavers in collaboration with the IT Assistant.
Supplier & Contractor Management: Source and negotiate with suppliers for office-related services (e.g., maintenance, equipment), ensuring the best rates are achieved.
Event Coordination: Plan and organise in-office events and assist with larger company events alongside the Executive Assistant.
Person Specification:
Proven experience in an Office Manager role and experience in managing an office move or similar-scale projects is essential.
Strong experience in providing confidential PA support to senior executives.
Excellent diary management and organisational skills.
High attention to detail, with the ability to prioritise tasks effectively under pressure.
Proactive, flexible, and positive approach to problem-solving.
Strong interpersonal and communication skills, with the ability to interact with colleagues at all levels.
Strong decision-making and multitasking abilities.
Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and both PC & Mac systems.
