Handle are pleased to be working with one of biggest labels in the world. As a Label Assistant/PA, you will collaborate closely with the current Personal Assistant to the Co-Presidents, providing them with comprehensive diary management and day-to-day support, ensuring seamless operations. This dynamic and diverse role demands a confident communicator with exceptional organisational skills, constantly staying ahead of the game.

Responsibilities:

  • Coordinate demanding and ever-changing schedules, often adapting to last-minute modifications
  • Update the daily diary each morning and prepare daily to-do lists, highlighting critical tasks
  • Manage the daily inbox, including sorting through junk, filing, responding to meeting requests and invitations, flagging urgent inquiries, etc.
  • Serve as a gatekeeper for external meeting requests and internal needs
  • Provide full support in coordinating international trips, including arranging all travel arrangements, compiling itineraries, and managing busy schedules while abroad
  • Book transportation for daily travel, gigs, airport transfers, etc.
  • Prepare meeting agendas and assist with meeting preparations, such as compiling information and conducting research as needed
  • Purchase artist birthday gifts, primarily through Artist Relations, and occasionally directly; arrange gifts for artists and management upon releases when necessary
  • Ensure all contact details are accurate and updated promptly
  • Forward unsolicited demos to the A&R team as relevant, often requesting feedback to pass on
  • Handle administrative tasks, filing, correspondence, etc.
  • Order all tickets for gigs and secure AAA passes when necessary, often through Artist Managers
  • Meet and greet external clients and provide refreshments
  • Arrange hospitality and refreshments for office-based staff events and new artist signings, occasionally organising team events as requested by the Co-Presidents
  • Manage the booking system for meeting rooms on the floor
  • Research and book restaurants for business lunches, dinners, and meetings
  • Assist with private and personal affairs, including diary management, preparing itineraries for family holidays, personal shopping, gift research and ordering, booking personal appointments, and keeping significant others updated on any after-hours events and travel

Qualifications:

  • Excellent written and verbal communication skills, with the ability to interact effectively with management at all levels
  • Proven experience in diary management, adept at coordinating busy and ever-changing schedules
  • Self-motivated and capable of working autonomously with minimal supervision, displaying proactive and initiative-taking traits
  • Flexible and motivated, willing to work outside of regular office hours
  • Highly organised, with exceptional coordination and prioritisation skills
  • Dedication, positivity, diligence, and a strong desire for continuous learning
  • A team player, able to build strong relationships internally and externally
  • Detail-oriented, ensuring a high level of accuracy in all tasks
  • Comfortable with various digital media platforms
  • Proficient computer skills, including Microsoft Word, PowerPoint, Excel, Outlook, and internet usage
